A LITTLE CONTEXT GOES A LONG WAY
How to use this tool.
01
Keep the essentials easy to find
Use your preferred professional name, role and company, followed by useful contact details. A concise signature is easier to scan on mobile. Phone, website, professional profile and location are optional; leave anything you do not want to share blank.
02
Choose a layout that suits your emails
The side-by-side layout separates your identity from your contact information. Stacked works well for a shorter line width. Both use system fonts and simple HTML tables for email compatibility. They do not embed remote images, tracking pixels or promotional banners.
03
Add it to your email client
Create your signature and choose Copy formatted signature, then paste into the signature editor in your email settings. In Gmail, look under Settings → See all settings → General → Signature. In Outlook, look for Signatures in settings; the location varies by version. Save your changes and send yourself a test email to check spacing on desktop and mobile. Download HTML is useful when your client supports importing HTML.
Email clients can adjust fonts, colors and spacing, especially in dark mode. The signature uses simple HTML for compatibility, but you should send a test before using it for client emails.
Why are there no hosted logos or tracking images?
A text-first signature keeps your details lightweight and readable without image downloads. You can add a hosted company logo later using your email client if needed.
Are my entries saved?
