Reference the original transaction

Add a distinct credit note number, its date, the customer and the original invoice reference. Explain the reason for the adjustment so the document can be matched to the original sale. A credit note records a reduction; it does not change or delete the earlier invoice.

Enter only what is being credited

Use positive quantities and unit amounts for the items or services being reduced. Enter the tax rate applicable to the adjustment, using the original transaction as your reference. The tool rounds each line and its tax to the currency’s smallest unit. If you enter the original total and previous credits, it checks that the new credit does not exceed the remaining amount.

Separate a credit from a refund

A credit can reduce an outstanding invoice, be held against future work or lead to a refund. Explain the intended treatment in the document. Generating the PDF does not send money, cancel a payment or update your accounting records. Required fields and tax treatment depend on your jurisdiction and transaction; adapt the document accordingly.

Should I enter negative amounts?

No. Enter positive quantities and prices for the amount being credited. The document identifies them as a credit so there is no double negative.

Does this prove a refund was paid?

No. It records a credit adjustment. A refund should be recorded separately when it is actually made.

Are my entries saved?

No. Your entries stay in this open page and reset when you refresh or leave. There is no account, autosave or cloud storage. Download or copy what you need before closing the page.
